Company Secretary Executive (HQ)

Job Responsibilities

  • Schedule meetings and prepares the minutes of meetings
  • Monitoring and ensure action taken for the matter arising of each meeting held
  • Maintaining effective records and administration, i.e, prepare and disseminate correspondence, memos, and forms
  • Liaise with appointed company secretarial firm in connection with company secretarial matters
  • Maintain and update statutory records including company registers, resolutions, minutes and maintain records with good filing system. Handle confidential documents and always ensure they remain secure
  • Securing signatures of directors/ shareholders on all company secretarial related documents
  • Assist in ad-hoc assignments and other administrative work from time to time

Qualification

  • Candidates should have at least Degree in Secretarial, Business Administration, or the equivalent
  • Work independently and be the key point of contract for the clients under your portfolio
  • Proficient in both written and spoken English and Bahasa Malaysia
  • Possess a strong sense of responsibility, commitment and able to multi-task in a fast-working environment
  • Computer literate; Microsoft Office or equivalent
  • Able to work in team and individual

Requirements

  • 3-5 years of relevant experience as an Assistant Company Secretary at a service firm
  • ICSA qualification
  • License with MIA/ ISCA will be more advantage
  • Well verse with the practical applications of the Companies Act 2016 and other related/ relevant laws and regulations
  • Very detailed oriented and meticulous
  • Organized, proactive and able to multi-task in a fast-paced working environment. Self-discipline and able to multi-task in a fast-paced working environment. Self-discipline and able to work under minimum supervision
  • Good command of written and spoke Bahasa Malaysia and English
